Director of Admissions & Marketing Part Time

Kentucky Avenue School, a K-8 independent school in the Shadyside neighborhood of Pittsburgh, announces a search for a part time Admissions and Marketing Director for the 2023-2024 school year. The Director of Admissions & Marketing is responsible for managing recruitment, admissions, enrollment and related marketing efforts in a manner that is responsive to the school’s mission, policies, and enrollment objectives. As the first face many people encounter at our school, we are looking for someone who lives and breathes our mission and can find like-minded families to join our community.

Position Description

The Director of Admissions & Marketing is responsible for the following:

Admissions

  • Design and implement a comprehensive strategic plan of admissions of new students to the school.
  • Direct the admissions process from point of inquiry through enrollment.
  • Present the school to prospective students and parents, including systematic and efficient handling of applications and communication with candidates and their parents; tours of the institution.
  • Develop with the Principal and School Board Treasurer the admissions budget and appropriate admissions and marketing materials, ads, mailings, web pages and publications that interpret the school to prospective students.
  • Initiate and create activities intended to interest parents and potential supporters in sending students to the school.
  • Promote good relationships and create networking opportunities and support for representatives with outside institutions or groups that can be helpful in attracting new students.
  • Plan and organize annual open house events (4 per year on school days). Includes promotion of events and on-site volunteers.
  • Evaluate yearly and redesign where appropriate all aspects of the admissions program with the goal of maintaining a capacity enrollment of qualified students and a wait-list of qualified applicants.
  • Keep relevant statistics on all aspects of the admission and re-enrollment program and prepare monthly reports.
  • Represent KAS at various community events to promote the school.
  • Participate as a member of the Tuition Assistance Committee.
  • Support the School and its leadership; serve on the Leadership Team.

Marketing

  • Work with the KAS board marketing committee to develop a yearly marketing plan for the school to promote the school internally and externally.
  • Oversee social media posting (Instagram, Facebook, Twitter, Next Door).
  • Work with our administrator to complete the yearly print advertising campaign.
  • Coordinate Every Day DIrect Mail (EDDM) fall and spring mailing.
  • Coordinate print materials for the school (yard signs, admissions materials, letterhead, envelopes, and other needed materials).
  • Order KAS promotional materials, i.e. car magnets, t-shirts, etc.
  • Update content on KAS website, as needed.

Requirements

  • Bachelor’s Degree
  • An excitement of all things Kentucky Avenue School!
  • Excellent written and verbal communication skills over multiple platforms
  •  PA Act 151, Act 34 and Criminal History Record Clearance

Preferred Qualities:

  • Bachelor’s degree required, Master’s degree preferred.
  •  Five years of experience of admission and recruitment in a school environment, required. College admission experience acceptable.
  • Exceptional written and verbal communication, organizational, and interpersonal skills.
  • Experience with Blackbaud and/or other admission-related software required.
  • Proficiency in Microsoft Office required.
  • Ability to connect and maintain effective relationships with students, faculty, administrators, parents, alumni and guests.
  •  Ability to handle multiple, simultaneous, and complex tasks and projects efficiently and effectively without constant supervision.
  • Ability to collaborate effectively within a team.
  • Ability to maintain confidentiality in the area of student records and finances.

Job Description 

Kentucky Avenue School, a K-8 independent school in the Shadyside neighborhood of Pittsburgh, announces a search for a Part-Time Lunch Program Manager for the 2023-24 school year. The Kentucky Cafe provides wholesome, healthy lunches cooked on-site for our students each day. The Cafe manager cooks, organizes volunteers, plans menus and more as detailed below. Child Abuse History Clearance, PA State Police Criminal Record Check and FBI Fingerprinting Clearances are required for this position. 

Requirements: 

● Food Safety Manager Certification 

● Cooking experience (particularly for groups of 35-60) 

● Ability to recruit and work well with volunteers of varying experience levels 

● Ability to plan healthy, nutritionally balanced meals that appeal to children, including vegetarian/vegan and gluten-free options when necessary, with a focus on fresh fruits and vegetables 

● Experience with interacting successfully with children from early childhood to adolescent level 

Main Duties: 

● Lead cook (generally at least twice per week, depending on volunteer staffing) ● Compile, Create & distribute monthly menus 

● Update Café Google calendar (displays online at school’s web site) 

● Create/Update Sign Up Genius for volunteers 

● Manage, recruit and train volunteers 

● Compile lunch orders, notify lead cooks of lunch numbers and post in Café 

● Keep pantry and kitchen well-organized and stocked with essentials and staples ● Fill in as needed when there is a lack of volunteers/a volunteer is unable to make their shift ● Purchase supplies and equipment for the kitchen on an as needed basis where budget permits ● Represent the lunch program & provide meal samples at school open houses ● Represent the lunch program & provide materials and support for the August back-to-school picnic 

● Cook and serve brunch at the annual New Family Brunch event 

● Maintain records including: 

○ Allergy information for students with food allergies 

○ Lunches purchased each month 

○ Payments for lunches purchased

Yearly: 

● Compile lunch program information sheet for school folders and submit to Sherry/Aimee ● Compile lunch program information folder to go out with September menu on the first day of school 

● Clean up kitchen and pantry before the beginning of school year 

● Set up Café bulletin board 

● Participate in or create school related nutrition/class events (Past events include: Kindergarten lunch, Stone Soup Day, Food Revolution Day) 

Weekly: 

● Launder all towels, table rags, etc 

● Compile and print out lunch call lists for K-8 

● Compile and print out volunteer list for lunchroom board 

Monthly: 

● Call for all menus for month from volunteers 

● Create menu document & cover sheet (at least one week before new month starts) ● Print 2 copies of menu &1 copy of cover sheet--stuff in school envelopes (at least one week before new month starts) 

● Distribute month menus to all teachers and staff 

● Email parents to notify that menus have gone home/send reminders for menus to be turned in or outstanding payments to be sent in 

● Input lunch orders in database
